Job Description
The Personal Assistance-Project Management Office (PA-PMO) staff supports “The Board”, in daily organisation, administrative and communication tasks.
We are looking for a detail-oriented Staff PA-PMO to assist with board activities, reporting and executing to partners, clients, stakeholders, and shareholders, and creates and following up board directions and reviewing and updating procedures. The Staff PA-PMO helps to establish objectives, policies, budgets, and procedures, as well as monitoring expenses and metrics.
A successful Staff PA-PMO is attentive, knowledgeable, efficient, and organized with excellent communication and interpersonal skills. You should have a sound working knowledge and understanding of business regulations, standards, and practices of The Netherlands and Indonesians business culture. Indonesians: West, Middle and East Javanese, Balinese, and Ambonese business culture.
Governance. The Staff PA-PMO ensures that decisions are taken by the right people, based on the right information. The governance role can also include audits or peer reviews, developing procedures and program structures and ensuring accountability at all levels.
Transparency. The Staff PA-PMO is responsible for providing information and being the single source of the truth. Information should be relevant and accurate to support effective decision-making and provided to the board in a way they can understand.
Reusability. The Staff PA-PMO facilitates the sharing of knowledge. This stops the board and team members from reinventing the wheel and makes the Staff PA-PMO the central point for lessons learned templates and best practice. Delivery support. The Staff PA-PMO makes it easy for the board to do their jobs by reducing time on administrative tasks.
Traceability. The Staff PA-PMO provides the function for managing documentation, project library history and organizational knowledge.
Job activities: (Tasks & Responsibilities):
a. Assisting the director with planning and implementing strategies.
b. Monitoring progress towards objectives.
c. Assisting the director with projects and initiatives by completing assigned tasks.
d. Monitoring activities assigned to other staff members and where needed assisting.
e. Building and maintaining positive relationships with, management, staff, partners, clients, and the community.
f. Assisting the director to establish and enforce budgets, timelines, finance system and metrics.
g. Organizing and filing documents, taking notes, monitoring, and delivering Emails/messages to the director.
h. Presenting department information to management, shareholders.
i. Scheduling, organizing, and participating in company and community events.
j. Instructing, coordinating and retraining employees.
k. Coordinating and maintaining communication platforms
Job Required Skills & Qualifications:
a. Excellence speaking and writing in Dutch, Indonesians, and English
b. Experience and affinity in business organisational and administration
c. Knowledge of Jakarta’s (Indonesia’s) administrative, tax and regulations.
d. A good working knowledge of business regulations, standards, and procedures.
e. Good organisational, communication, and interpersonal skills.
f. Knowledge and working with cloud and document sharing platforms, e.g., SharePoint, Trello, OneDrive etc.
g. Computer & Office apps skills (Excel, Words, OneNote, Webmail, etc.)
h. Good organizational and management skills.
i. Personal developments
j. Willing to travel (in the future to e.g. Indonesia)
